Operational Responsibilities:

• Provide administrative support to the immediate manager
• Organize meetings, appointments and business trips for the immediate manager and prepare expense claims report for submission
• Plan and coordinate logistical arrangements for the arrival of overseas guests
• Perform follow-up activities on shipments - monitor, system update, flag issues 
• Generate and compile reports for weekly/monthly /quarterly meetings
• Prepare slides for meetings
• Take meeting minutes
• Oversee the flow of information.  Ensure tasks and deadlines are met in accordance to the company and manager’s requirements
• Coordinate info and work with the external accounting & auditing firm and ensure their timely delivery of services
• Prepare and handle sensitive and confidential documents
• Any other ad-hoc duties

General Responsibilities:

• Abides by all company´s internal and legal rules and regulations
• Shows diplomacy when handling conflict situations. Request written opinion and escalate the problem as soon solution is beyond own authority level
• Performs additional tasks, assigned by the employer as per employee’s qualification and role, according to company’s operational needs
• Uses company’s goods and equipment’s according to their destination, and only in the interest of the job
• Does not disclose own passwords, nor passes on access card or key to anyone
• Maintain confidentiality

Minimum Requirement:

• Diploma education and above
• 3 years of working experience in similar capacity
• Knowledge of freight forwarding would be an advantage
• High competent in both spoken and written English
• Proficient in MS office (Excel /PowerPoint)
